Once you have been granted access to a shared inbox, this is how you will access it.
If you need a shared mailbox created, request a shared mailbox.
- Open your IUP email by going to mail.iup.edu.
- Click on your name displayed in the top right of the browser.
- Click Open another mailbox.
- Enter the address of the shared mailbox.
- It will suggest addresses, Click on the Shared Mailbox.
- Click open.
This will open in a separate tab from your IUP personal email.
Outlook will now open as the shared mailbox. Any messages you send or reply to will appear as coming from the shared mailbox.
Items sent from this version will appear as coming from you, Not the shared mailbox.
- Open your IUP email by going to mail.iup.edu.
- Right-click on Folders, in the left sidebar on the screen.
- Click Add shared folder or mailbox.
- Enter the address of the shared mailbox.
- Click add.
The shared mailbox will appear in your personal email folder.
- Download and install the Outlook mobile app.
- Sign in with your IUP email.
- Tap the circle in the top left corner of the screen beside Inbox.
- Scroll down to the bottom and click the gear icon.
- Tap Accounts, and Add Account.
- Tap Shared Mailbox.
- You may need to select your IUP account.
- Enter the Shared mailbox address.
- Tap Add Shared Mailbox.
The mailbox will show up in your list of accounts on the left side of the screen. Messages sent from here will appear as coming from the shared mailbox.
Windows Computer Outlook application
These instructions will guide you through the process of adding the Shared Mailbox address to your Outlook application on a Windows computer:
- Open Outlook.
- In the File menu at the top left, click File.
- In the next window at the top, click the Add Account button.
- You will then be asked for your password. Please type that in and continue (you may get prompted for Duo authentication).
- You will see a new window asking for an email address.
- Please type in the Shared Mailbox address @iup.edu and click Connect.
- It might take a few seconds for the next window to appear.
- Important: You will see another password prompt. Do not type in your password. Instead, choose Sign in with another account.
- A new window will appear asking you for an email address. You need to remove the email address listed in there and type YOUR email address in this field.
- It will then ask you for a password. Type in your password and click Sign in.
- If everything goes well, you will see a popup that states "Account successfully added."
- After you close that window, you will then need to close Outlook completely and start it back up again.
- When Outlook starts again, you should see the new mailbox in the left column.
- Please allow some time for all of your Outlook items to download.
Mac Computer Outlook application
These instructions will guide you through the process of adding the Shared Mailbox address to the Outlook application on a Mac computer:
Please note: If you get prompted about allowing Outlook notifications during any part of this process, please choose if you want them or not, and then continue with the instructions.
- Open Outlook.
- In the File menu at the top, click Tools, then choose Accounts.
- In the next window at the bottom, click the + sign and then choose Open Shared Mailbox.
- The Open Mailbox window appears. In the search area, type in the Shared Mailbox address @iup.edu.
- Select the Shared Mailbox address @iup.edu from the list of options and click the Add button.
- You will then see the Shared Mailbox address listed in the left column.
- Please allow some time for all of your Outlook items to download.
